Communication is the only tool that can make people stand out of the crowd. There are many things that you can do to ensure that your verbal messages are understood. One needs to make sure that the:

  • Messages conveyed are clear
  • One must keep the messages simple
  • One must be well prepared in advance
  • Messages should be kept concise.

One of the most important factors in determining your communication successes is rating yourself. Whenever possible set meeting times and speaking and presentation times well in advance, thus giving oneself an appropriate time to prepare for the entire communication process that includes: source, encoding, decoding, receiver, feedback and context. By paying close attention to each of these stages and preparing accordingly, you ensure that your communication will be more and better understood.

Not all communications can be scheduled. Preparation may mean having a good, through and understanding of the subject matter, enabling you to communicate with the knowledge you have in an effective manner both through verbal and written communication.

One needs to ask one’s own self questions like:

Who? How? What? When? Where? Why?

Who are you speaking to? What are their interests and values? What do you share in common with them? How are they unique?

How can you best convey your message? Language plays a very crucial role. Choose your words and the non- verbal cues with the audience in mind. Plan the start, mid and the end.

What do you wish to communicate? Ask yourself, how well can you put across your views in an impactful manner.

When? Timing is important. Develop a sense of timing, so that your contributions are seen and heard. There is a time to speak and a time to be silent.

Where? If possible, visit the room and rearrange the things if necessary. Do a proper inspection of the entire room.

Why? In order to convert hearers into listeners, you need to know why they should listen to you. That implies that you should know yourself why you are seeking to communicate- the value or worth or interest of what you are going to say.

Be concise. Be brief. Use short words and sentences. Where appropriate support, these with short, easy to understand examples, which will demonstrate your message.
